Fleet booking for real teams

Your fleet, minus the faff.

Book pool cars, run prestart checks and stay on top of servicing. When two people are heading the same way, Jalopy pairs them up in one car.

Now plugs into Microsoft Entra, your telematics, n8n and Power Automate and anything that speaks REST or webhooks →

What Jalopy does

Book it

See which cars are free, grab one in a couple of taps, and know exactly where the keys are.

Check it

Prestart checks before every trip, and servicing reminders so no car quietly turns into a jalopy.

Share the ride

Heading the same way on the same day? Jalopy spots it and offers a Shotgun seat. Fewer cars out, less spend.

Built for fleets that carry people.

Disability, aged care and community services run pool cars and wheelchair buses across houses and offices. Jalopy knows who's trained to drive what, keeps client names off shared screens ("+1 client"), and works for staff who start their day in a car park.

  • Licence classes and qualifications checked on every booking
  • Location scopes for house coordinators
  • Australian time zones, rego and dates
The tour

From the booking to the board pack.

Booking

A car in a couple of taps.

Drivers pick where and when, see which cars are free, and book. They know which car it is and where the keys are before they leave the desk.

  • Only the cars they can drive: licence classes and qualifications are checked on every booking.
  • Need a booster seat or a hoist? Only cars that have one show up.
  • Repeating trips: book every Tuesday clinic run in one go.
  • Scan the QR tag on the keys to pick up and start.
For fleet managers

Who has what, at a glance.

Every car down the side and the week across. Hover a booking for the details, or open a day to see it hour by hour.

  • Two people can never book the same car: every booking is checked on the server as it saves.
  • Drag a booking to another day or car. Jalopy checks it still fits and tells the driver.
  • Big fleets stay tidy: folders show how full each group is, and open to its cars.
Approvals

Approve from your inbox.

Set rules once: the wheelchair bus, overnight trips, a long drive. The right approver gets a push and an email with Approve and Decline buttons. No sign-in needed.

  • Rules by vehicle, special use, place, purpose or time.
  • Nobody answering? It escalates to the fleet team.
  • Regular drivers can skip approval on their usual car.
Prestart checks

Two minutes, then off you go.

A quick walk-around on the phone before every trip, from a checklist you build for each kind of vehicle. Flag a problem with a photo and the fleet team knows straight away.

  • The wheelchair bus checks its hoist and restraints; the ute checks its tray.
  • A critical flag takes the car off the road until it's fixed.
  • Build checklists by drag and drop, and preview them on a phone.
  • Change a checklist any time: every prestart keeps the version it answered.
Defects & maintenance

No car quietly becomes a jalopy.

Defects, rego, insurance and services in one place, with reminders at 30, 14 and 7 days. Services are forecast from each car's real km, not a guess.

  • Flags from prestarts land in one list, with photos. Critical ones tell you straight away.
  • Book a car out for the panel beater, and drivers get told to swap.
  • Full history kept: every rego, policy and service.
Reports

Know which cars earn their keep.

Utilisation by car and by location shows where the fleet is too big or too small. Every table exports to CSV for the board pack.

  • Trips, km, no-shows and prestart completion.
  • How fast defects get fixed.
  • Shotgun savings, in car trips and km.

Shotgun ride sharing

Two people, same way, one car.

When someone books a trip that matches one already on the books, Jalopy offers them a seat before they take a second car. Fewer cars out means a smaller fleet and less fuel.

  • Matches by place and time: same day, close by, close times.
  • Drivers choose how many seats to open, and can say no.
  • Clients stay private: other staff only see "+1 client".
  • The dashboard counts the car trips and km saved.
Integrations

Your fleet data never gets stuck in here.

Fleet data is only useful when it moves. Jalopy keeps your people in step with Microsoft Entra, pulls vehicles and odometers from your telematics, and hands every booking, trip and defect to payroll, HR, your automations and your AI tools through a documented REST API and signed webhooks.

Microsoft Entra directory sync

Your people, already here.

New starters arrive ready to go, names and employee IDs stay current, and leavers lose access the day they leave.

  • Group-based enrolment: bring in only the groups you pick, nested groups too.
  • Start with one team and add groups as you roll out. No re-import, no double-ups.
  • Leavers are switched off, never deleted, so every trip's history stays.
  • Runs every night, or whenever you press Sync. Your app's secret is stored encrypted.
Telematics & fleet systems

Map any fleet system, field by field.

Point Jalopy at your telematics or fleet system's API and drag its fields onto Jalopy's. No connector to wait for, no CSV shuffle.

  • Full mapping: every attribute in the answer, nested ones too, matched by drag and drop.
  • Signs in the way your API does: an API key, a bearer token, a password or OAuth2.
  • Each car is matched on its ID in your system, so a new plate never makes a duplicate.
  • Odometers update every night, and only ever go forward.
REST API & webhooks

Built to plug in.

Signed webhooks tell n8n, Power Automate or your own code the moment something happens, and the API books cars and reads everything back.

  • 17 webhook events, from a new booking to a failed prestart.
  • Keys with scopes; each one only does what you tick.
  • Retries, a delivery log, and safe retries on creates.
  • Read the API docs

For fleet managers

The little things that save a morning.

No-shows, sorted

Booked and never picked up? Once the grace period's up, Jalopy lets the car go for someone else, tells the driver, and counts it in your reports.

Works in a car park

No signal under the building? Prestarts, starts and ends save on the phone and send themselves when it's back.

Every trip on the record

Who drove what, when, and what they checked. Prestarts can't be changed once they're sent, and every booking keeps its history. Ready when the auditor asks.

Under the bonnet

Don't let the name fool you.

Silly name, mismatched wheels, and an engine built from the ground up to be quick. Ten staff or ten thousand, a hundred bookings or a million: the screens you use every day are back before a blink is over.

We didn't take our own word for it. We loaded one fleet with 3,000 cars, 10,000 people and over a million bookings, then put a stopwatch on every screen.

Bookings on the clock. Not a rattle.
